Thank you so much for pitching in and helping us keep the website updated! It makes it so much easier to generate the documents needed to complete the automated adoption paperwork – not to mention you know these dogs far more intimately than we do sometimes!
In this little tutorial, we will guide you through accessing the website and then entering needed information.
We are only asking you to enter information about the dog’s routine in your home and their behavior. Unless things change along the way, this is a one-time entry which you don’t have to do it all at one time – you can do it in stages.
We are also asking that you mark giving your monthly heartworm preventative.
Let’s face it, we don’t have degrees in computer engineering. That’s why the website is super easy to navigate; you might even say it’s been built for dummies! And I do have to apologize if this step-by-step guide seems really simplistic, but I’m writing it for the lowest common denominator – ME!
First things first – Setting Up Access to the Website Software
- So, you’ve gotten the email telling you that you’ve been registered on the website like the one below.
- You now need to set your password. To do so, go to the link at the bottom of the email which will take you to a screen like this:
- You can use the password which is generated for you (which even Einstein couldn’t remember) or you can set your own by deleting what’s in the new password box and typing in the one you want.
NOTE: You cannot save a password until you get the green bar saying “Strong.”NOTE: Sorry, but you cannot change your Username.
- Now click on Save Password! You should be taken to a Log In screen where, guess what, you can log in!! (On a good day, it might take you directly into the website software)
I’m In – Now What?
- After logging in, you will land on your Dashboard, which is where you will find your foster dog(s) listed. There is only one listed here, but if you have more than one foster, they will all be here.
- Pick the one you want to edit, click on Edit [Dog Name] and the dog’s record will come up.
Routine & Disposition Sections
- To make (or edit) entries in the Routine Section which will be compiled and sent to the Adopter, so they know what you do about the dog, click on the Routine Tab under Internal Information.
- You will now get a screen that looks like this; just fill in the information as best you know. Some you must fill in the information, but most you will either select from drop-down boxes or just click on the answer. Some items do allow for multiple answers.

- = Don’t know
- There also is a section at the bottom of the screen where you can add any notes about the dog’s routine or what you have observed with your foster dog. Could be something like no blankets for this guy, he eats them as a snack. All of this will be compiled and sent to the adopter, so keep it clean! 🙂
- Remember, this all gets compiled and set to the Adopter, so it helps to be as accurate as possible.
- Before leaving this screen and closing out or moving on to the next screen — Please, please, please for the love of dog, click on the “Update” button in the top right-hand corner of the screen. If you don’t click on update, the information will not save and you will get to do it all over again! Been there, done that — No fun. Also, never, ever, ever click on trash can button anywhere on site – it will delete the entire record!
- Next is the Disposition screen. Click on the tab to get there which looks like this:
- Have fun clicking away to tell us (and the eventual adopter) everything you know about the dog. Again, the symbols are the same as in Routine (but this time, we also gave you a Legend at the top – just wanted to see if your awake!)
- Like before, there is a section at the bottom for any notes you want to add. Could be something like the dog doesn’t like me wearing hats, dog will stop at every tree during walks, or dog sleeps in the funniest positions. Again, this is being compiled to be sent to the adopter, so they know a bit more about the dog they are getting.
- When you are done with this screen, for the love of dog, REMEMBER to click on the “Update” button in the top right-hand corner of the screen.
You are now done with this portion of the program – at least for this dog. You need to go back to your Dashboard to do it for any other foster dog(s) you may have. To get back, click on Dashboard in the upper left corner of any screen.
And in case you want to see what is sent to the adopter, you can see a copy under the Documents tab for the dog; just click on “Things My New Family Should Know About Me!” to generate a PDF for viewing.
Heartworm Preventative, Flea/Tick Entries, etc
The other thing we are going to beg you to do is enter the monthly heartworm and flea/tick preventative for your foster dog(s). With so many dogs in rescue usually it takes forever for one person to do it, but only 5 minutes for you to do it. So pretty please with a dog cookie on top, can you help with this?
- You will need to access the Medical Module by clicking on — you guessed it – the Medical tab.
- You will then get a series of tabs. Click on Vaccinations & Preventatives (duh):
- Scroll down until you get to Preventatives:
- If you gave Flea & Tick preventative (in this example it’s NexGard), click on that row to get the drop-down box:
- Go to Last Given and change the date to the date you gave the latest dose.
- If you gave heartworm preventative, then do the same thing under that section:
- Now just click the Almighty Update button in the upper right of the screen and you are done (with our eternal gratitude)!
Changing Brands of Preventative
Due to cost savings, recalls or a myriad of other reasons, it may become necessary to change brands of preventative. Not a problem, it will only take two wags of a lab’s tail to note that!
- While you are in the Preventatives section for either flea & tick or heartworm (here it is heartworm but both sections work the same), click on the box for Which Brand? where the previous brand (Heartguard) is for a drop-down menu.
- Select the new brand. Now a new brand box will appear beneath the other one. Just fill in the requested information (obviously the Started On date will be the first day you give the new meds)
- And again, don’t forget the all-powerful Update button in the top right hand corner of the screen!
- And in case you want to see what is sent to the adopter when we send the medical records, you can see a copy under the Documents tab for the dog; just click on “Vaccines & Preventatives” to generate a PDF for viewing.
